Calypso Concepts

MENUS The menu headings provide access to all of Calypso’s features.
SHORTCUTS Many of Calypso’s features can be accessed by using short cuts.
  • Right-click on an item for a quick menu of related features. Experiment by right-clicking on folder names, messages and other items.
  • Customize the Toolbar for quick, easy access to the features you use most.
  • Calypso and Windows keyboard shortcuts access features from the keyboard.
MAILBOX Calypso organizes information into a "Mailbox". You can have multiple Mailboxes.
ACCOUNTS Accounts contain information about an e-mail address. You can have multiple Accounts within a Mailbox.
MESSAGES Mail messages can be Sent, Received, Deleted and stored in folders.
SYSTEM FOLDERS System folders contain information Calypso always needs. They cannot be created, or deleted. The system folders are:
CUSTOM FOLDERS You can create additional folders for saving messages.

Remember to use Help and to right-click an item for a context menu.

MAILBOX Stores all information related to how you send, receive and manage your e-mail.  
Create To start a new mailbox From the MAILBOX menu select NEW.
Open To start using a mailbox From the MAILBOX menu select OPEN.
Right-click options Right-click on the mailbox icon to access additional features.

ACCOUNTS Stores all information related to the e-mail addresses within a Mailbox.  
Add To add another account to the mailbox. Right-click the ACCOUNTS folder.
Select ADD ACCOUNT.
Modify To change an Account Open the ACCOUNTS folder.
Double-click the account name
Delete To delete an Account Open the ACCOUNTS folder.
Right-click the account name.
Select DELETE.
Right-click options Right-click on the ACCOUNTS folder, or an Account name to access additional features.

ADDRESS BOOK Organizes e-mail addresses and information.  
Add new address Adds another address to the Address Book Right-click on the ADDRESS BOOK folder.
Select ADD ADDRESS
Modify address Change information in the Address Book. Open the ADDRESS BOOK folder.
Double-click on the entry to be changed.
Favorites Frequently used addresses can be flagged as "favorites". When Composing a message, right-click on the TO: field to see the favorites list. Open the ADDRESS BOOK folder.
Right-click on the entry.
Select FAVORITES
Bulk Mail A file containing many e-mail addresses. The file name can be specified in the TO: field of a message. Expand the ADDRESS BOOK folder (click on +)

Right-click on BULK MAIL folder for options, or

Open BULK MAIL folder and right-click on selected entries for options.

Mail Template Frequently used setups of messages, including FROM:, TO:,  SUBJECT:, Message Body and Attachments can be saved as "Templates". Expand the ADDRESS BOOK folder (click on +)

Right-click on MAIL TEMPLATE folder for options, or

Open MAIL TEMPLATE folder and right-click on selected entries for options.

Groups A logical grouping of addresses that can be specified in the TO: field of a message Expand the ADDRESS BOOK folder (click on +)

Right-click on ADDRESS BOOK folder for options, or

Open a Group folder and right-click on the group name, or on a selected entry for additional options.

AUTO RESPONSE Automatically send a response to an incoming message.  
Create To create an Auto-response. Right-click on the AUTO-RESPONSE folder.
Select COMPOSE.
Modify To change an Auto-response. Open the AUTO-RESPONSE folder.
Double-click on the auto-response name.
Using Auto-response To activate an Auto-response. Open the ACCOUNTS folder.
Right-click on the account name.
Select the "Enable Auto-Response" option and choose the appropriate AUTO-RESPONSE entry.
Right-click options: Right-click on the AUTO-RESPONSE folder, or an Auto-response name to access additional features.

FILTERS Filters route incoming mail to other people, or to specific folders.  
Create To create a new filter. Right-click the FILTER folder.
Select NEW DEFINITION.
Modify To change a filter Open the FILTER folder.
Double-click on a selected filter name.
Using Filters To activate a filter. Open the ACCOUNTS folder.
Right-click on the account name.
Select the "Enable Filter" option and choose the appropriate FILTER entry.
Right-click options Right-click on the FILTER folder, or a Filter name to access additional features.

Sending a Message Messages can be sent by:

Composing a new message, Sending a Reply, Forwarding, or Redirecting a message.

 
Composing a Message On the Tool Bar click the Pencil icon. To send, click the Send icon on the tool bar.
Reply, Forward and Redirect Reply sends a response back to the originator.

Forward sends a copy of the message to someone else.

Redirect reroutes the message to another person.

Open the folder which contains the message.
Click the message.
From the tool bar, select Reply, Forward, or Redirect.
When ready, click Send on the tool bar.
Sent Mail folder Messages that have been sent are placed in the SENT MAIL folder. .

RECEIVING MAIL Messages are received when a "Check Mail" operation is performed. Check mail is done either manually, or automatically.
Receive Mail Folder Normally, incoming mail is placed in this system folder.  
Mail Received through Filters When specified by a filter, incoming mail is handled according to the filter definition. See FILTERS
Reading Received Mail Mail can be read in the preview window, or when opened.  
Preview mode Text of the message appears in the preview panel. Open the folder containing a message then left-click the message.
Open mode Text of the message appears in a message window. Open the folder containing a message then double-click the message.

SIGNATURES Signatures are short statements appended to the end of every message sent from the selected account.  
Create To create a Signature. Right-click on the SIGNATURES folder.
Select COMPOSE
Modify To change a Signature. Open the SIGNATURES folder.
Double-click on the signature name.
Using Signatures To cause a Signature to be sent with your messages. Open the ACCOUNTS folder.
Double-click on an account.
Select the SIGNATURE tab.
Select the desired signature.
Check the "Attach signature to outgoing mail" box.
Right Click Options Right-click on the SIGNATURE folder or a Signature name to access additional features.

Searching for Messages Search locates messages and presents them in the Search Results folder.  
Performing a search Uses the search criteria to locate matching messages. Right-click on the Mailbox or a folder name.
Search Results Displays the matching messages in a folder view. Message actions such as Reply, Forward, and Delete may be done on messages in the Search Results folder.

WASTEBASKET When messages are deleted they can be stored in the wastebasket. Messages can also be sent to the wastebasket by filters.  
Viewing messages in the wastebasket To see a message in the wastebasket Open the WASTEBASKET folder.
Select the message.
Sending messages from the Wastebasket To send a message which is in the wastebasket Open the WASTEBASKET
Double-click on the message.
Modify the message as desired.
Click SEND on the tool bar.
Empty the Wastebasket To empty the wastebasket Click on the "empty wastebasket" icon in the tool bar.
Right Click Options Right-click on the WASTEBASKET folder or a message to access additional features.

CUSTOM FOLDERS User made folders for storing messages  
Creating a custom folder Custom folders may be created under the RECEIVE MAIL, SENT MAIL and MAILBOX system folders Right-click on the RECEIVE MAIL, SENT MAIL or MAILBOX folder.
Select NEW FOLDER.

Custom Sub-folders can be created by right-clicking on a higher level custom folder.

Moving messages between folders. Messages can be moved between folders using the drag and drop method. Open the folder which contains the message.
Select the message and hold the right mouse button down.
Drag the mouse pointer over on top of the new folder.
Release the mouse button.
Right click options Right-click on the folder name or message name to access additional features.

DELETE Options Messages can be deleted from folders, from your computer, and/or from the mail server.  
Normal Delete Deletes messages according to the options set in the MAILBOX Properties WASTEBASKET tab. Open the folder.
Select the message to be deleted.
Click the red ‘X’
Delete Options Various delete options are provided for special handling. Look in the "HELP" system for more information. Open the folder containing the message.
Right-click on the message.
Select the delete option.

ATTACHMENTS Files can be sent with an e-mail message as an Attachment.  
Send an Attachment Attach a file to a message. In the COMPOSE mode.
Click the ADD ATTACHMENT icon on the tool bar.
Identify the desired attachment.
Receive an Attachment View or save a file attached to a received message. Open the message.
Right-click the attachment.
View or Save the attachment.

FONTS You can change the way information appears on the screen.  
Temporarily change the Compose or Preview Font To temporarily change the Compose or Preview font. In Compose or PREVIEW modes, pull down the WINDOW menu.
Select the font change command.
Permanently change Compose or Preview Font To permanently change the Compose or Preview font In Compose view mode, pull down the WINDOW menu.
Select CHANGE DEFAULT FONT.

SPELL CHECK To check spelling in a message

Selected Features Quick Reference

Feature Description
HTML Messages Compose and view messages formatted using HTML.
  • Mailbox | Properties | Compose to set the default compose mode.
  • Window | Show Rich Text to toggle on/off during compose or view.
  • Configurable tool-bar button.

REQUIREMENTS

  • Viewing HTML messages requires Internet Explorer 3.0 or higher.
  • Composing HTML messages requires Internet Explorer 4.0 or higher.

During HTML compose, a tool bar is available at the top of the message body for inserting and controlling HTML tags.  Signatures and Templates may be composed using HTML formatting.  An HTML signature will be sent as plain text if sent with a plain text message.

SETUP

Default font: Same as setting fonts for character sets in the Mailbox|Properties|Character Sets tab.  when the default character set is "Auto", HTML messages assume the use of "printed quotable" characters and will default to ISO-8859-1. Go to the bottom section of the Character Set tab, select the ISO-8859-1 font from the drop-down box, and then change it to the desired the font.

Default colors: See the Rich Text (HTML) Colors section of the Mailbox | Properties | Advanced Setting tab, Display Properties button.

Address Auto-complete Start typing an address in the To, Copy and BCC fields.  As you type Calypso completes the address from the address book by matching to the Alias or E-Mail address field.
  • Enabled using Mailbox | Properties | Compose tab.

When the desired address is completed, press the comma, semi-colon button, or right arrow to enter another address or press Tab to move to the next field.

Show New Messages The "Show New Messages" feature quickly lists in the Search Folder all newly received messages.  This is especially useful when incoming filters distribute incoming messages to many folders.

This feature provides efficient access and processing of messages that have been received and distributed to multiple folders without having to switch between folders.   With the Toolbar button, this is a one-click operation.   Calypso lets you perform any operation on a message displayed in the Search Results folder.  By "working" your new messages and refreshing by reshowing the remaining new messages, it is possible to process your incoming mail without switching to each folder receiving a message.

"Reset New Messages" clears the new message status from all messages in the new message list.

Newly received messages are messages that have been received since the last time "Reset new messages" was done.  Marking a new message "Read" automatically removes it from the new message list.  

vCards vCards are the e-mail equivalent of a business card.  By sending your vCard with messages, the recipients receive your address book data and can easily add it to their address books.  One address book entry is identified as the vCard for each Account and can optionally be sent whenever you send a message from the account.  Any address entry (or selected block) may be sent as a vCard by dragging the entry into a message from the address book list.

SETUP

Add an address book entry to be used as the vCard for an account.

Right-click the vCard address book entry and highlight "Set as vCard".  A list of accounts will display.  Select the account that will use the address entry for its default vCard.

Use Account | Properties | Outgoing Mail tab to set the option to automatically include the vCard on each outgoing message sent from the account.

SENDING a vCARD

Compose a new message.  Check the "Send vCard" checkbox at the bottom of the compose window.  When the message is sent to the Internet, Calypso will attach the vCard for the sending account.  If the checkbox is gray, a vCard has not been associated with the sending account.

RECEIVING a vCARD

vCards are received as attachments to messages with a "vcf" file name extension.  Messages containing vCards are identified in the summary list by a "rolodex card" icon in the attachment column.  To access the vCard, open the message in a message view window, and right-click the vCard.   The right-click menu contains actions for viewing the vCard, saving it as an address book entry, and other actions.

LDAP Directory Search Performs e-mail address searches on LDAP* servers.
  • Edit | Search LDAP directory pull-down menu
  • Configurable tool-bar button.

Select a server, enter your search criteria and press the Search button. Matches will be displayed in the lower panel. Several public anonymous LDAP servers are pre-configured.

From the LDAP search results list you can:

  • Drag-and-Drop matches to any address field of a message you are composing.
  • Right-click on a match:
    • Start a new message addressed to the match.
    • Add the match to your Calypso address book.
    • Delete the match from the match list (Does not delete from the LDAP server).

* LDAP is an acronym for Lightweight Directory Access Protocol.

"JunkYard" Spam Control facility Lets you dispose of unsolicited or unimportant mail by sending it to the JunkYard. The JunkYard is a special filter that will dispose of future similar messages.

To send a message to the JunkYard:

  • Right-click on the message and select "Send to JunkYard...".
  • Select the "Send to JunkYard" configurable tool bar button.

When you add a message to the JunkYard, a filter rule is created based on the JunkYard filter's default rule. Subsequent incoming messages that match the rule will be filtered according to the rule. You can optionally change the matching criteria and actions as a message is sent to the JunkYard.

The JunkYard filter and its rules can be customized by changing them just as you would change any other filter. It is possible to have some Junk treated differently than other Junk (For example, Offensive mail Discarded and other mail of mild interest put in a folder for reading later).

SETUP:

The first time you choose to send a message to the JunkYard, you will receive a window explaining that your JunkYard has not been setup with an option to automatically setup the JunkYard . Answering "Yes" causes Calypso to:

  • Create a "JunkYard" folder.
  • Create a "JunkYard" filter with a base rule which defines the default rule for adding rules to the filter (The default base rule matches on the From field and moves messages to the JunkYard folder, and deletes the message from the server).
  • Applies the JunkYard filter to all of the Calypso e-mail accounts. By default, the JunkYard filter will run before any other filter applied to the account but may be changed to run after. If you do not want to filter junk mail received on an account, you must unapply the JunkYard filter from that account. (See the Account | Properties | Filter tab)

Hint: To avoid discarding important messages, it is advisable to have the default rule sort your junk e-mail to a folder where you can review it. Once you are sure a rule is only selecting junk, you can then modify the rule to Discard the messages. Remember, the JunkYard filter is a filter just like any other and can be changed to fit your specific needs using the full range of filter capabilities.

Configurable main window layout Controls the arrangement and content of the main window panels.
  • Window | Window layout pull-down menu.

Select a window layout, then select what information will be shown in each panel of the window.

Configurable/Dockable Toolbars Adds, removes or moves the tool bar buttons.
  • Window | Tool Bar | Customize pull-down menu
  • Select the "Configure Toolbar" tool bar button.
  • Right-click on a separator in the tool bar.

There are two toolbars that are configured separately: one for the main window and the other for the message view/compose windows.

Docking: The two toolbars are Dockable meaning they can be moved to the top, bottom, left or right of the window or displayed in a separate child window.

  • Left-Click within the toolbar margins or a separator and drag

To move a toolbar within the window, left-click within the toolbar margins or a separator and drag the toolbar. When the move box border becomes thin, release the mouse and the toolbar will snap into place along the closest side. Releasing the mouse while the border is thick, places the toolbar in a child window that may then be moved anywhere on the Desktop.

Received Message Edit Allows you to modify the subject and body of a received message.
  • Enabled using Mailbox | Properties | Compose tab.
  • Edit Received Message toolbar button.
  • Edit | Edit Message pull-down menu.

May be used to insert notes and reminders into a received message or to change the subject for filtering and sorting.

Folder Filtering Applies a filter to selected message(s) or a folder.
  • Right-click a folder name, select "Filter messages" and then select the filter to apply to the folder.
  • Right-click on a message selection in the message list, select "Filter messages" and then select the filter to apply to the selected messages.
Add message to filter To add a rule to a filter based on a selected message:
  • Right-click on the message and select "Add to Filter...".
  • Message | Add to Filter pull-down menu
  • Select the "Create filter rule" configurable tool bar button.

The filter rule definition window is displayed. Make the following selections and press OK. The rule is added to the filter and the message is filtered.

  • Choose the filter from the drop-down selection box.
  • Enter the match pattern manually or use the drop-down selection box to copy the field from the message.
  • Select the object to match on.
  • Select the actions.

Note that the criteria boxes have pull-down choices.   Selecting a choice from the pull-down copies the fields content into the criteria box.  For example, selecting the "From" field in the pull-down will insert the sender's e-mail address.

Mailbox Backup Creates a copy of the Calypso mailbox file on any local or network neighborhood path.
  • Mailbox | Properties | Backup tab.

The automatic backup occurs every n times the mailbox is closed. A value of 0 turns automatic backup off.

Manually backup by using the "Mailbox | Backup mailbox and Exit" pull-down menu.

Note that Calypso maintains all messages, setup information, address book and other related data in one file.  Calypso's unique approach to e-mail data storage results in very easy backup and restore and has a side benefit of mailbox mobility.  Calypso Mailboxes (files) may be copied using any copy utility or command and may be opened from any location.  Mailboxes may be stored on a removable disk and used in different systems (i.e. Home, Field and Office).

RESTORING A MAILBOX BACKUP

Place the backup copy of the mailbox (one file) in the desired directory and open it.

Message Follow-up Marks messages for follow-up with low, medium or high priority by:
  • Right-click selected message(s) and choose "Mark for follow-up".
  • Configurable tool bar buttons for Low, Medium, High and Unmark.
  • Filter action

A follow-up flag will appear on the message in the Follow-up column of all message summary lists.

Hints: Use the Message Search to view all messages marked for follow-up. Note that you can perform any actions (such as sort, reply, print, delete, etc.) on messages in the search results folder that you can perform from the folder where they reside. You can easily mark a message for follow-up and file it in any folder without worrying about finding it later. Just do a quick search and it will be in front of you. For quick and easy use, add the Follow-up tool bar buttons to your toolbar.

Message Archive Writes messages to a text file on any local or network neighborhood path by:
  • Right-click the Mailbox name, a folder name or selected message(s) and choose "Archive messages".
  • Mailbox | Archive messages pull-down menu to archive the Mailbox
  • Message | Archive messages pull-down menu to archive a selected folder or selected messages.
  • Filter action

If you are archiving selected messages, use the file browser to locate or create the archive file.

If you are archiving messages from the mailbox or a folder, the archive window displays the path of the messages that will be archived along with options to:

  • Select the account(s) of the messages to archive.
  • Include the Wastebasket (Mailbox only)
  • Include subfolders (Folder only, implied for Mailbox)
  • Save attachments. Attachments are saved in an "Attachment" subdirectory of the archive file's directory. The archived message will contain a header field indicating the path of the archived attachment. Archived attachments with duplicate names are resolved into unique names.
Message Import Imports messages into a Calypso mailbox. Useful for archiving messages into an "Archive" mailbox where they are readily accessible using Calypso and also for converting messages from Eudora. Imports the Calypso Archive format
and Eudora messages.

Note that using Calypso's message archive and import features provides the ability to copy/move messages from one mailbox to another.  This is especially useful when archiving messages.  Using archival mailboxes makes your archived messages readily accessible using Calypso's powerful message management and search features.  Archival mailboxes also use the same backup and restore available to your production mailboxes.

Signature Insert Inserts the selected signature into the body of a message at the cursor. Place the cursor where the signature is to be inserted:
  • Right-click at the insertion point and select a signature from the Insert Signature option..
  • Options | Insert Signature pull-down menu and select a signature .

The selected signature is copied into the message at the cursor. If a signature was selected to be appended to the message, it is cancelled.

Message Templates Mail templates assist you with routine mailings. They are pre-composed messages that can be used as new messages.  Templates may contain header information, body information and control flags for items such as Return Receipt, Attach signature, send vCard, etc.

STARTING A NEW MESSAGE FROM A TEMPLATE

  • Select the template in the Address Book/Mail Templates folder and start a compose.
  • Use the "Compose message using a Template" toolbar button.

INSERTING A TEMPLATE INTO AN EXISTING MESSAGE

Inserts the selected template body into the body of a message at the cursor. Place the cursor where the template body is to be inserted:

  • Right-click at the insertion point and select a template from the Insert Template option.
  • Options | Insert Template Body pull-down menu and select a signature .

The selected template is copied into the message at the cursor.

International Character set support Lets you associate a display font for messages depending on the international character set of the message. Calypso has two independent font associations for each character set:
  1. The font used when composing or viewing a message.
  2. The font used in the preview panel of the main window.

Compose and View:

Mailbox | Properties | Character Sets tab

  • "Default character set" selects the default character set used when you compose a message. The character set is sent in the header so that the recipient can display the message using a font they have selected for the character set. This is pre-configured for "Auto". "Auto" uses the U.S. ASCII character set unless there are printed quotable characters in the message, in which case, the ISO 8859-1 (Latin1) character set is used.
  • "Font Associations" selects a display font for each of the international character sets. All character sets are pre-configured to the Arial,10 point font.

When you are composing or viewing a message, you can change the character set or the font associated with the character set. When in the message Compose/View window:

  • Use Options | Character encoding pull-down menu to use a character set other than the default for this message only. The newly selected character set is sent to the recipient in the message header. This does not change your default character set.
  • Use Window | Change font to temporarily change the display font associated with the character set for this message only. This does not affect the character set sent to the recipient.
  • Use Window | Change default font for[character set] to associate a new display font with the character set of this message. This does not affect the character set sent to the recipient.

Preview:

The preview panel displays each message using a font you select for each character set. This is different from the Compose/View character set/font association.

  • Use Window | Change Preview font for[character set] to associate a new Preview display font with the character set of this message. If you receive a message that is encoded with a character set that does not have a font association, you will be prompted to select a font. This does not affect the character set in the message header or your Compose/View font association.
Eudora message and folder import Imports Eudora folders and messages into your Calypso mailbox.
  • Mailbox | Import | Eudora pull-down menu.

Calypso searches for your Eudora directory. If it is not found, you must browse to the directory containing the Eudora folder and message files.

You will need to select a Calypso account to import the messages. The import will copy your Eudora folder and messages into the Calypso mailbox. After the import, you can use Calypso's folder and message drag-and-drop and Calypso's message and folder filtering to organize your Eudora mail in your Calypso mailbox.

APOP Authenticated POP login Authenticated POP login enables encrypted password login to your POP3 server. Your POP3 server must support this or you will receive an error.
SMTP Authenticated logn Authenticated SMTP login enables encrupted password login to your SMTP server.  Your SMTP server must support this or you will receive an error.

Calypso 3.0 Highlights

Calypso E-mail Version 3 is a significant release containing many new features and enhancements.

HTML Support. View and Compose Web formatted e-mail.

Address Auto-Complete (Type-ahead). Start typing an address in the To, Copy and BCC fields and as you type Calypso completes the address from the address book by matching to the Alias field.

New Message Search. The "Show New Messages" feature quickly lists in the Search Folder all newly received messages.   Especially useful when incoming filters distribute incoming messages to many folders.  "Reset New Messages" clears the new message status from all messages in the new message list.  Newly received messages are messages that have been received since the last time "Reset new messages" was done.  Marking a new message "Read" automatically removes it from the new message list.   This feature provides efficient access and processing of messages that have been received and distributed to multiple folders without having to switch between folders.   With the Toolbar button, this is a one-click operation.

Filter Distribution List. After each mail check, the details now contains a list of folders receiving messages along with a count of messages moved to each folder.  This can be easily accessed by using the Up arrow on the details box in the main view.

V-cards. Receives and sends V-card attachments for the exchange of address book information. May be configured to send a default V-card on each new message. Received V-cards are easily added to the address book. Easily attached to a message using drag-and-drop from the address book.

Message Templates. Templates have been enhanced to include entire pre-formatted messages. Templates can be used in the same manner as "Stationery" or "Boilerplate" messages in other e-mail programs. The Select Template toolbar button provides easy access to the templates.  Template body text can be inserted into the body of any message at any position.

Archive Import. Imports archive files into a Calypso mailbox. Exporting and importing to a Calypso archive preserves the folder tree and all message attributes. Optionally imports to a single folder or recreates the archived folder tree.

Message Import. Imports messages into a Calypso mailbox. Useful for archiving messages into an "Archive" mailbox where they are readily accessible using Calypso and also for converting messages from Eudora. Imports the Calypso Archive format and Eudora messages.

Edit Received messages. Received messages may be changed. Useful for making notes about the message and recording an action for follow-up messages, or deleting received attachments from the mailbox. To use, open a received message in the Message View window and select Edit message (Pull-down or Toolbar).

Multiple Language Spell Check. You can now change dictionaries during spell check. When a spelling error is encountered due to text in another language, change the dictionary to continue checking in the new language. This is useful in message that contain text in multiple languages.

PGP Plug-in. Calypso now contains a PGP plug-in. When PGP is installed, the PGP plug-in allows the encryption and decryption of messages using PGP. To encrypt a message, select the encrypt tool bar button in the Compose view. When the message is sent the PGP key window will appear and the message will be encrypted before it is sent. When a PGP encrypted message is received, select the Decrypt tool bar button in the main view or the Message View. The PGP key window will ask for your private key and decrypt the message.

Keyboard Accessibility.  All functions are mapped to the keyboard for increased accessibility.

TAPI support. To dial a telephone number from the Preview or Message View windows, select the number, right-click and choose dial.   You may also dial numbers from the address book by right-clickin g on the address book entry and selecting dial.   Requires a TAPI provider (Windows Telephony is a TAPI provider).

Search

Refine Search. Added "Refine Search" to the search results folder so that you can search the results of a previous search. Access by selecting the Search results folder and Pull-down Messages Refine Search or right-click Refine Search.

Delete Prompt. Added a delete prompt when deleting or discarding from the Search Results folder. This prompt may be turned off in the Mailbox Properties Wastebasket tab.

Show References. Added "Show References" to the Messages (pull-down and right-click) menu. This displays all messages referenced by the selected message and all messages referencing the selected message. Referencing is done using the Message-ID and References fields in the message header.

Attachments

Attachment Rename and Delete. Attachments can now be renamed and deleted.

Linked Attachments. When attached files are sent, the user can select to "Link" the attachment. Calypso will remember the location of the file instead of keeping a copy of the file. If the file is changed and the message is sent again, the updated file is attached. Conversely, embedded attachments keep a copy of the attached file with the message so that changes to the file do not affect the attachment. The default attachment method is selected in the Mailbox/Properties/Attachments tab. The default may be overridden when a file is attached manually using the pull-down menu or tool bar.  Note that embedded attachments increase the size of the mailbox file.

Attachment Properties. An attachment's properties can be viewed by right-click on the attachment name and selecting "Properties". The properties are Type, Encoding Type, Content Type, Content Disposition and location. The location may be Embedded (Resides in the Calypso mailbox) or Linked (A file on disk with a full pathname).

Attachment Associations. All Windows programs and actions that are associated with a particular file type are available in the top group of the file name right-click menu in the attachment list of the Message View window.

Display

System Folder. The "Use system folder in folder list" option moves the Accounts, Auto-response, Filter and Signature folders under a single folder. When selected, the mailbox must be reopened before the folder tree changes.  Go to the Mailbox/Properties/Advanced Setting tab and click the "Display Properties" button.

Key Status. The compose view now displays the Num Lock, Caps Lock and Insert key status in the lower right.

Follow-up Trackers. When active, the folder icons contain a small flag for folders that contain messages marked for follow-up. The flag is white if the message is in a sub-folder. Display of the follow-up trackers is optional and can be set in the mailbox properties. Folders Follow-up messages can be easily located using the follow-up trackers and by using the Search.  Go to the Mailbox/Properties/Advanced Setting tab and click the "Display Properties" button.

Date/Time display. All date/time processing includes the time zone. A time zone column has been added to the summary display. The user may choose which message time is displayed: either the time the message was sent (Stamped by the sending client) or when the message was received at the mail server (Stamped by the receiving mail server).   Go to the Mailbox/Properties/Advanced Setting tab and click the "Display Properties" button.

Short Time Zone option. The Time Zone display format can be set to full (Example: -0500) or abbreviated (Example: -05) for reducing the width of the column.  Go to the Mailbox/Properties/Advanced Setting tab and click the "Display Properties" button.

Pending Subfolders Removed. The Pending subfolders corresponding to each account that existed in previous versions have been eliminated. Now all messages go directly into the Pending folder. The account column indicates to which account a pending message is associated.

Wastebasket Local Delete Subfolder. The local delete subfolders corresponding to each account that existed in previous versions have been consolidated into one folder. Now all locally deleted message headers go directly into the Wastebasket/Local Delete folder until the messages are deleted from the server. The account column indicates to which account a message is associated.

Misc.

  1. Address Book panel is resizable and sticky.
  2. Filter panel is is resizable and sticky.
  3. Hot-link color selection in Mailbox Properties.  Go to the Mailbox/Properties/Advanced Setting tab and click the "Display Properties" button.
  4. The Mailbox Properties Status tab now displays the Mailbox name, location and size.
  5. Sorting the subject field now ignores Re: Fw: and Fwd: during the sort.

Internet Connection

Connection Type. (Mailbox/Properties/Online/Offline tab) There are now three types of Internet Connection:

  1. IE4 Settings uses the Internet Explorer 4.x or higher connection.
  2. Local Area Network uses the local network connection.
  3. Modem uses the selected Dial-up Networking Connection. A dial prompt is optional. When the first mail server activity is complete, Calypso will optionally, i) stay connected, ii) disconnect without prompting, or iii) prompt the user.

Filters

  1. Added the "Delete Local" action.
  2. The Filter definition panel is resizable and sticky.
  3. Added the "Creation date and Time", "Number of Hits" and "Date of Last Hit" fields to the filter rules.

Address Book

Full function Add Address. When adding an address to the address book, the panel is the same as the New address panel. Also, if the address already exists in one or more entries, the entries are displayed for editing in a next/previous list.

External Address Books. Automatically imports address entries from an external file during mailbox open. External file is maintained in Calypso address book export format (Comma-delimited text). May be re-imported at any time using Ctrl+Alt+E. May be automatically re-imported upon reception of a re-import message from the address book administrator.

Address Book Misc.

  1. Create, Modify and Delete addresses are now available when using the Address Book from the Message Compose window.
  2. Favorites List now optionally shows the Alias or the Name field.  See the Mailbox/Properties/Address Book tab.
  3. The Address Book select panel is now resizable and sticky.
  4. Added import of the LDIF address book format (Netscape 4.0).
  5. Bulk mail files can now be edited from the address book.

Compose

Receipts. Calypso now supports both Received and Read receipts. Received receipts are sent y the receiving mail server when the server receives the message and are an Internet standard supported by most mail servers. Read receipts are sent by an e-mail client program when a message changes to the "read" status. Read receipts are not standardized. Calypso read receipts may be used Calypso-to-Calypso messages and are compatible with Pegasus, Netscape, and RFC 2298-compliant mail readers.

Text File Insert. A text file may be inserted into a plain text message using the pull-down menu or right-click option.

Configurable Message Separators. The reply. forward and redirect separators content and format can now be defined. The content can include message fields using keywords substitution.  Go to the Mailbox/Properties/Address Book tab and click the "Message Separators" button.

Reply and Forward Prefix Characters. The character used for the reply prefix and forward prefix can now be set by the user. See the Mailbox/Properties/Compose tab.

Compose Misc.

  1. If more than 5 messages are selected, Reply, Reply-to-All, Forward, Redirect and Open are not available.
  2. The "redirected by" information may now be suppressed in outgoing redirected messages. See the Account/Properties/Outgoing mail tab.
  3. Reply messages may be automatically stored into the folder of the original message instead of the default Sent mail folder. See the Account/Properties/Outgoing mail tab.
  4. On Reply, Reply to All, Redirect and Forward, if the user holds the SHIFT key down, we include the original message header in the new message body.

Print

Message Print. The page header is no longer printed. Instead, the mailbox name, account name, page number and the print date are printed in the page footer.

Print Margins. The print margins can be set using the Mailbox/Print Margins pull-down menu.

Preview Print. The contents of the preview panel may be printed using the preview panel right-click menu.

Other Enhancements, changes, and fixes

  1. Added support for embedded (RFC822) messages as attachments.
  2. Fixed Add Address - if you have a block of addresses selected, it will add each one.
  3. Made mail parser more robust.
  4. Added error message to Details of "run a program" fails for a filter.
  5. Fixed bug in Compose and Message View not showing the date/time the same as displayed in the Summary list (mail sent time versus server received time).
  6. Added option to attach inline text attachments instead of show as inline.  Go to the Mailbox/Properties/Attachments tab.
  7. Fixed a few bugs in message import.
  8. Fixed a problem when receiving a Folder name from the Explorer "Send To" feature.
  9. Fixed Calypso to show on top after DBTool runs when starting.
  10. The status bar is resized to fit when in 640 X 480 screen resolution.
  11. When an attachment is received without a name, Calypso makes a best guess of the file type based on the MIME content type.
  12. Calypso will extract the attachment name out of an attachment encoded with binhex when the name is not present in the MIME header.
  13. The message parser is now multi-threaded.
  14. SMTP is now multi-thread cooperative.
  15. When deleting a folder that is in use by an account or filter rule, the user is presented with options to change or delete the rule.
  16. RFC822 message Archive and Import.
